3. Booking and Reservations

3.1 Booking Process

• All bookings are subject to availability
• Bookings are confirmed upon receipt of payment
• A booking confirmation will be sent via email
• We reserve the right to decline any booking

3.2 Pricing

• All prices are quoted in USD unless otherwise stated
• Prices are subject to change without notice
• Group discounts may apply for 6+ participants
• Children under 12 receive 50% discount

4. Payment Terms

4.1 Payment Methods

We accept payment via:

• Bank transfer
• Cash payment (in-person)
• Online payment systems (where available)

4.2 Payment Schedule

• 50% deposit required to confirm booking
• Full payment due 7 days before tour date
• Group bookings may require different payment terms

5. Cancellation and Refund Policy

5.1 Customer Cancellations

• 30+ days before tour: Full refund minus 10% processing fee
• 15-29 days before tour: 75% refund
• 7-14 days before tour: 50% refund
• Less than 7 days: No refund

5.2 Our Cancellations

We may cancel tours due to:

• Weather conditions or safety concerns
• Insufficient participants (minimum numbers not met)
• Force majeure events

In case of our cancellation, you will receive a full refund or alternative tour option.

6. Travel Requirements

6.1 Documentation

• Valid passport required for all participants
• Visa requirements vary by nationality
• Travel insurance strongly recommended

6.2 Health and Fitness

• Participants must disclose medical conditions
• Moderate fitness level required for mountain tours
• Age restrictions may apply to certain activities

7. Safety and Liability

7.1 Our Responsibilities

• Provide qualified, experienced guides
• Ensure vehicles are properly maintained
• Follow safety protocols and procedures
• Carry appropriate insurance coverage

7.2 Participant Responsibilities

• Follow guide instructions at all times
• Inform us of medical conditions or dietary requirements
• Behave respectfully towards locals and environment
• Carry personal travel insurance

7.3 Limitation of Liability

CaspianTrips liability is limited to the cost of the tour. We are not responsible for:

• Personal injury due to participant negligence
• Loss or damage to personal belongings
• Delays or changes due to weather or circumstances beyond our control
• Actions of third-party service providers

8. Tour Modifications

We reserve the right to modify tour itineraries due to:

• Weather conditions
• Safety concerns
• Local events or restrictions
• Operational requirements

9. Behavior and Conduct

9.1 Expected Conduct

• Respect local customs and traditions
• Follow environmental guidelines
• Treat guides and fellow participants with respect
• Arrive punctually for activities

9.2 Unacceptable Behavior

We reserve the right to remove participants who:

• Endanger themselves or others
• Show disrespectful behavior
• Are under the influence of alcohol or drugs
• Refuse to follow guide instructions

10. Photography and Media

• We may take photos/videos during tours for marketing purposes
• Participants consent to use of their likeness in promotional materials
• Participants may opt out by informing the guide
• Personal photography is encouraged with respect for locals

11. Force Majeure

We are not liable for failure to perform services due to circumstances beyond our control, including:

• Natural disasters
• War or civil unrest
• Government restrictions
• Pandemic or health emergencies

12. Complaints and Disputes

12.1 Complaint Process

• Complaints should be raised immediately with the guide
• Formal complaints must be submitted within 30 days
• We will investigate and respond within 14 days

12.2 Dispute Resolution

Disputes will be resolved through:

• Direct negotiation
• Mediation if necessary
• Azerbaijan courts as final resort
